A notary stamp carries the details your commissioning state wants to see on every notarial certificate: your name exactly as it appears on the commission, the words Notary Public, the state, and usually a commission number and an expiration date. Some states add the county; others leave it out. Because the content is fixed by law, the difficult part is not decoration. It is fitting several mandatory lines into a small plate so that every character stays legible on a photocopy, a fax or a phone scan.
This notary stamp maker opens a real notary layout in the editor above. Replace the sample name and numbers with your own, compare a rectangular seal with a round one, and check the longest line at the size your state allows. When the proof is right, keep it as a PNG for approval or as an SVG master for the vendor who will make the seal. The same online stamp maker also handles the everyday office stamps around notarial work, such as jurat blocks, received marks and journal stamps.
One limit matters before you start: a design file is not a notary seal. Only a commissioned notary may use one, and several states require the physical seal to come from a manufacturer authorized by the commissioning office. Treat the file as artwork and as a proof, and follow your state's rules for the stamp itself.
Stamps a notary office uses
The official seal is only one of them. Most notaries also keep wording stamps for certificates that arrive incomplete, plus a few internal stamps for the journal and the files.
Rectangular notary seal
JANE M. DOE · NOTARY PUBLIC, STATE OF NEW YORK · Qualified in Albany County · Reg. No. 01DO6123456 · Commission Expires 09/02/2030
The most common inked seal. Where the state sets a maximum size, long county or name lines need a smaller font rather than a wider plate.
Round notary seal
NOTARY PUBLIC · STATE OF MICHIGAN · COUNTY OF ALLEGAN around the edge, with the name and expiry in the centre
The traditional circular layout, and the shape used by embossers. Curved text holds fewer characters than a straight line, so test long county names first.
Jurat block
Subscribed and sworn to before me on ________ by ________ · Notary signature ________
Saves time on affidavits that arrive without printed jurat wording. Confirm that your state accepts a stamped jurat and that the text matches its statute.
Acknowledgment block
State of ______ County of ______ · On ______ before me, ______, personally appeared ______
Loose certificate wording for acknowledgments. Many states prescribe the exact text, so copy it from your own state's form rather than from another state's.
Copy certification mark
CERTIFIED TRUE COPY · Date ______ · Signature ______
Only where your state lets notaries certify copies. Elsewhere, the person holding the document signs a statement and you notarize that signature instead.
Journal and billing stamps
ENTERED IN JOURNAL · Entry No. ______ · FEE PAID $ ______
Internal marks for the journal, mobile notary invoices and client folders. They carry no official meaning, so you can style them as you like.
Notary stamp templates to start from
Choose a layout and it replaces the design in the editor above. The states, counties and numbers in these templates are placeholders: change every one of them to the details on your own commission.

How to make a notary stamp
- 1
Collect the commission details
Copy your name, commission number, county and expiration date exactly as they appear on the commission certificate. Middle initials and abbreviations must match the certificate, not the way you usually sign.
- 2
Choose a shape your state permits
Open a rectangular or round template. If your state limits the size, set the plate to that size before editing, so every change is checked against the real space.
- 3
Replace and fit each line
Edit the text layers one by one, then reduce the font size until the longest line fits without letters touching the border. Keep the name and commission number the most prominent elements.
- 4
Proof and export
View the stamp at full size and read every digit against the certificate. Export a PNG to send for approval or an SVG for the manufacturer, and keep the file with your commission paperwork for the next renewal.
Size, ink and file format
These figures are common starting points. Your state's notary handbook always takes priority.
- Size
- Rectangular seals are often about 1 × 2½ in (25 × 64 mm), and round seals about 1½ to 2 in (38–50 mm) across. California, for example, caps round seals at 2 inches and rectangles at 1 × 2½ inches.
- Ink colour
- Black is the safest choice because it photocopies and scans cleanly. Some states require black ink, or any ink that reproduces in a photograph, so check before you choose blue.
- Smallest text
- Keep every character at roughly 7 pt or larger. Commission numbers set smaller than that tend to blur on faxes and low-resolution scans, which is exactly where a recorder will need to read them.
- Files
- A PNG proof is enough for approval by email. Vendors usually ask for SVG or a PDF with outlined text, which keeps the lettering sharp at the final plate size. Compare the PNG and SVG stamp downloads before you pay for a file.
- Embossers
- Where an embosser is used, it usually supplements the inked seal. Embossed paper shows less detail than ink, so give a round embosser design heavier lines and fewer words.
Notary stamp questions
Can I make my own notary stamp online?
You can design and proof the layout online, then give the file to a seal vendor. Whether you can produce the physical seal yourself depends on your state: several require an authorized manufacturer, and every state requires a current commission. The design never replaces the commission.
What information goes on a notary stamp?
Most states require your name as commissioned and the words Notary Public with the state name. Many also require the commission number, the expiration date or the county. Follow the list in your state's handbook, and leave out logos or titles unless the handbook allows them.
What size should a notary stamp be?
Use your state's maximum if it sets one. Typical sizes are about 1 × 2½ inches for rectangles and 1½ to 2 inches across for round seals. Set the plate size in the editor first, so the lettering is fitted to the space you will actually get.
Can I put a digital notary stamp on a PDF?
Only through a remote online notarization platform approved by your state, which applies its own electronic seal and certificate. Placing a picture of your inked seal on a PDF is not an electronic notarization, even if you hold a valid commission.
What changes when my commission is renewed?
The commission number and expiration date usually change, and the county can change if you move. Open your saved design, update those lines and order a new seal. Retire the old stamp, because a seal showing an expired commission should not appear on new certificates.
