Money paperwork runs on short, repeated marks. A shop or contractor endorses every incoming check on the back before it goes to the bank, usually with FOR DEPOSIT ONLY and the name on the account. The accounts desk marks receipts and invoices CASH RECEIVED or CHECK RECEIVED with a date and initials. In much of South Asia, the Gulf and Africa, the company stamp beside the signature is often expected on company checks and account forms. Lenders and credit unions add received, verified and approved marks to the loan files they keep.

This bank stamp maker opens a deposit endorsement in the editor above. Type the account title exactly as the bank holds it, add the last digits of the account if your bank wants them, and check that the block still fits the endorsement area on the back of a check. The same online stamp maker switches to receipt or approval layouts and exports a PNG proof for whoever signs off on the wording and a vector file for the vendor who makes the self-inking stamp.

One decision is not yours to make: what your bank accepts. Endorsement rules come from the deposit agreement and local law, and differ between countries, banks, and even branch and mobile deposits. Settle the wording with the bank first, then design around it. These layouts are for the business's own stamps; nothing here reproduces a bank's seal or teller stamp.

Bank stamps a business actually uses

The first four serve any business that takes payments; the last two belong to lenders, credit unions and finance offices working on their own files.

  • Restrictive endorsement

FOR DEPOSIT ONLY · Harbor Lane Bakery LLC · Acct. ending 4821

Stamped on the back of every check made out to the business, so that a check lost or stolen before deposit can only be credited to that account.

  • Mobile deposit endorsement

FOR MOBILE DEPOSIT ONLY · Harbor Lane Bakery LLC · Signature ________

Many banks ask for this wording on checks deposited through an app, sometimes with the bank's name added. A separate stamp keeps app deposits and branch deposits from being mixed up.

  • Payment received mark

    PAYMENT RECEIVED · CASH ☐ CHECK ☐ CARD ☐ · Amount $ ______ · Date ______ · By ______

For receipts, invoices and counterfoils at the cash desk. Tick boxes record the method, while the amount and initials are written by hand.

  • Authorized signatory stamp

For NORTHWIND SUPPLY CO. · Authorized Signatory

Placed under the signature on company checks, account forms and payment instructions, wherever the bank expects the company stamp next to the signer.

  • Loan file stamps

    LOAN APPROVED · File No. ______ · Officer ______ · Date ______

For a lender's own credit files and checklists. Variants such as CONDITIONS CLEARED or DOCS VERIFIED show where each application stands.

  • Maker and checker block

    MAKER ______ CHECKER ______ DATE ______

Evidence of dual control on vouchers and journal slips: one person prepares the entry, a second person checks it, and both initial the block.

How to make a bank stamp for your business

  1. 1

Get the wording from your bank

Ask the bank, or read the deposit agreement, for the endorsement it wants: the exact account title, whether to include the account number, and any mobile deposit wording. Note it line by line.

  2. 2

Size it for the back of a check

Start from a 47 × 18 mm rectangle for endorsements. Receipt and approval stamps can be larger, since they land on invoices and file covers rather than on a narrow strip.

  3. 3

    Put the account name first

Make FOR DEPOSIT ONLY and the account title the two largest lines, then shrink any account digits underneath. Leave a clear margin so the frame does not crowd the letters as the rubber wears.

  4. 4

    Test on a voided check

Print the proof at 100 percent, hold it against the back of a voided check and confirm it stays inside the endorsement area. Then export the files.

Size, ink and files for bank stamps

Starting points for business use. Where your bank gives instructions, follow those instead.

Size
About 2 × ¾ in (50 × 19 mm) suits an endorsement; receipt blocks run around 55 × 45 mm, and round approval stamps 38 mm. The deposit only stamp templates are a quick way to compare layouts at endorsement size.
Ink color
Black or dark blue. Checks are processed as images, and pale colors or bright reds and greens can fade when a check is scanned. Keep red for internal marks such as PAID.
Endorsement area
In the US, the payee's endorsement belongs on the back within about 1½ inches of the trailing edge, the end usually marked “Endorse here”. A stamp that runs beyond that strip can overlap the zone banks use for their own endorsements.
Smallest text
Keep the account title at 8 pt or larger and the digits at 7 pt or larger. A teller or an image system has to read them after the check has been folded, scanned and compressed.
Files
A PNG is enough to send the proof to your bookkeeper or bank for review. The stamp vendor will usually want SVG, which keeps the edges clean on a small plate. The PNG and SVG stamp downloads are compared on the pricing page.

Bank stamp questions

What should a for deposit only stamp say?

The usual pattern is three lines: FOR DEPOSIT ONLY, the account title exactly as the bank holds it, and either the account number or its last four digits. Some banks also want their own name on the stamp. In Canada you will often see “For deposit only to the account of” followed by the business name. Ask your bank which version it prefers.

Will the bank accept a stamped endorsement without a signature?

For checks payable to a business and deposited into its own account, many banks accept a stamped restrictive endorsement on its own. Others want a handwritten signature or initials too, particularly for mobile deposits, large checks or checks payable to an individual. Your deposit agreement is the deciding document, so read it before you order the stamp.

Is it safe to print the full account number on the stamp?

The number already appears on every check you write, so it is not secret, but it travels with each check you endorse. Many businesses print only the last four digits, which is enough for staff to match the deposit. If your bank needs the full number to route deposits, follow that instruction.

Do I need a separate stamp for each account?

Yes, if the endorsement names the account. A business that keeps an operating account and a trust or payroll account should have one stamp per account, with the account title in large type and, ideally, a different ink or frame, so nobody sends a client's check into the wrong account.

Can I put my bank's name or logo on the stamp?

Not the logo, and nothing that looks like the bank's own stamps. The bank's name should appear only if your bank's endorsement instructions ask for it, typically as plain text after “For mobile deposit only at”. Everything else should identify your business.
