Most clinics run on a small set of stamps. The doctor's practice stamp identifies who wrote a referral letter, a report or an invoice: name, qualification, practice address, telephone and, where the health system asks for it, a registration number. In Germany this is the Arztstempel, which for doctors in the statutory insurance system also carries the practice number (BSNR) and the doctor number (LANR). In France the tampon du médecin shows the RPPS number, and across much of the Arab world the doctor's stamp includes the license number. Reception adds date, copy and appointment stamps around it.

This doctor stamp maker opens a practitioner's round stamp in the editor above. Type the name and qualification exactly as your registration shows them, move the registration number to its own line, and test whether a round layout or a rectangle reads better at the size your stamp holder takes. The same online stamp maker handles the front-desk stamps, so the whole set shares one style.

Decide early who each stamp belongs to. A stamp with a doctor's name and number belongs to that doctor alone, while a shared clinic stamp should show only the clinic's name and address. Where several doctors work at one site, each needs a personal stamp and the reception stamps carry no name at all. More layouts are in the medical stamp templates collection.

Stamps a medical practice uses

Only the first one carries a practitioner's identity. The others are clinic stamps that reception, nurses and the records team use every day.

  • Practitioner's practice stamp

    Dr. Amelia Hart · General Practitioner · MBBS · Reg. No. 7012345 · 18 Linden Road, Bristol BS6 4QT · 0117 496 0123

Goes on referral letters, reports and invoices the doctor signs personally. Check which identifiers your licensing body or insurer expects, and in what order.

  • Clinic address stamp

    RIVERSIDE FAMILY CLINIC · 42 Harbor Street, Portland, ME 04101 · Tel. (207) 555-0142

For envelopes, appointment letters and general correspondence. Because it names no doctor, any member of staff can use it.

  • Results received stamp

    RECEIVED · 23 OCT 2026 · For Dr. ______

Dates lab results, imaging reports and letters from other providers on arrival, so the records team can see which papers still wait for the doctor.

  • Results review box

    REVIEWED · Dr. ______ · Date ______ · ☐ Normal ☐ Discuss ☐ Repeat test

A small grid the doctor ticks and initials before results are filed or scanned. Make the boxes big enough for a ballpoint tick.

  • Next-appointment stamp

YOUR NEXT APPOINTMENT · Date ______ · Time ______ · With ______ · Please call 24 hours ahead to cancel

Stamped on the back of clinic cards at the front desk. Plan every line for handwriting rather than print.

  • Records status marks

    COPY · CONFIDENTIAL · SCANNED · FILED

Single words for copies released to patients, envelopes of medical records and paper already scanned into the electronic record.

How to make a doctor's stamp

  1. 1

    Copy the registered details

Take your name, qualification and number from your registration certificate or license, not from an old letterhead. Ask your licensing body or insurer whether a particular number must appear on paper documents.

  2. 2

Match the plate to your stamp

Choose a rectangle if you need four or five lines, or a round stamp for a name, specialty and one number. Set the size you will order before editing any text.

  3. 3

Give the number its own line

Put the registration or license number on a separate straight line in a plain font, at least as large as the address. Curved text and script fonts make digits hard to read on faxes and scans.

  4. 4

    Proof with the practitioner

Print the proof at 100% and have the doctor check every character against the register. Export a PNG for your records and an SVG for the manufacturer, and keep both for the next change of address.

Size, ink and legibility

Common starting points for clinic stamps. Any format your insurer or licensing body sets comes first.

Size
A practice stamp of about 50–60 × 20–25 mm fits four or five lines. Round name stamps are usually 38–40 mm across, and received or date stamps work at roughly 45 × 18 mm.
Ink color
Blue is popular because it separates an original from a photocopy, while black scans more evenly. Forms that are read by machine sometimes specify a color, so check before ordering a full set.
Smallest text
Keep registration numbers at 8 pt or larger and nothing below 7 pt. Faxes and low-resolution scans still travel between clinics, and thin digits such as 1 and 7 are the first to disappear.
Files
A PNG proof is enough to agree the wording inside the practice. Stamp manufacturers usually want SVG or a vector PDF for the plate. The pricing page explains the PNG and SVG stamp downloads before you order.
Medical symbols
The rod of Asclepius suits a medical stamp. Avoid a red cross or red crescent on a white background, emblems protected under the Geneva Conventions, and never borrow the logo of a hospital or health authority.

Doctor stamp questions

What should a doctor's stamp include?

Usually the practitioner's name, qualification or specialty, the practice address and phone number, plus any registration or license number the local health system expects. Leave out anything your licensing body does not allow on professional documents, such as unrecognized titles or promotional slogans.

Can several doctors share one clinic stamp?

Only if it names the clinic and no individual doctor. Anything showing a practitioner's name or number must belong to that person. A common setup is one personal stamp per doctor, one clinic address stamp for correspondence, and a set of unnamed reception stamps for received, copy and appointment marks.

Does a stamp make a medical certificate valid?

No. A certificate is valid because the practitioner who assessed the patient issued and signed it. The stamp only shows on paper who that practitioner is. Which documents must carry a stamp differs by country and by insurer, so follow your licensing body's guidance rather than stamping by habit.

Can I put my stamp image on letters sent by email?

On ordinary correspondence that you sign yourself, such as a referral letter on your letterhead, many practices do, and it adds no legal weight. Prescriptions, sick notes and certificates sent electronically must go through the approved electronic system instead. Keep the image file as protected as the physical stamp.

What wording works on an appointment card stamp?

A heading such as Next appointment, lines for date, time and clinician, and one line with the phone number or cancellation policy. Leave out the reason for the visit: cards are often seen by family or colleagues, and the purpose of an appointment is health information that belongs in the record, not on a card.
