Paper still moves through a real estate office all day. Offers arrive by email and get printed for the transaction file, disclosure packets are copied for both sides, showing sheets collect feedback after each visit, and keys leave the office on tags that must identify the property without telling a stranger where it is. Each job has its own stamp: a contact stamp on flyers, a time mark on every offer, a status word across a listing sheet, and copy marks for leases.

This real estate stamp maker loads a contact layout into the editor above, ready for your brokerage name, your own name, license number, phone and email. Swap in an OFFER RECEIVED or SOLD layout from the templates below, tighten the line spacing until a long brokerage name fits, and preview the result at its real size. The same online stamp maker exports a PNG you can drop into a PDF listing pack and an SVG your stamp supplier can turn into a self-inking stamp.

Keep in mind that a stamp marks paper; it is not the record itself. An OFFER RECEIVED mark with the time written to the minute helps when several offers arrive close together, but your brokerage's transaction system and the signed contract remain the documents that count. Plan to replace the contact stamp whenever you change firms or your license details change.

Stamps for listings, offers and leases

Agents, listing coordinators and property managers each need a different set. These come up most often.

  • Agent and brokerage contact stamp

    HARBORVIEW REALTY GROUP · Dana Ortiz, Sales Associate · Lic. #02145587 · (555) 014-2290 · dana@harborview.example

For the back of flyers, open-house sign-in sheets, folders and plain card stock. Several states want the brokerage name at least as visible as the agent's, so give it the top line.

  • Offer received

    OFFER RECEIVED · Date ______ · Time ______ a.m./p.m. · Logged by ______

Marks the moment an offer reached the listing office. When multiple offers come in on the same day, a handwritten time to the minute settles questions about which one arrived first.

  • Listing status stamps

SOLD · UNDER CONTRACT · UNDER OFFER · PRICE REDUCED · BACK ON MARKET

Bold one- or two-word stamps for listing sheets, window cards and the office board. A rectangle with a heavy border reads from across the room.

  • Showing feedback block

    SHOWN ______ · Agent ______ · Buyer interest: High / Medium / Low · Comments ______

Stamped on the showing sheet or the back of a printed feature sheet, so every visit is recorded the same way before feedback goes to the seller.

  • Key tag code

    KEY 0417 · Set 2 of 3 · Return to front desk

Small enough for a key tag. Use an internal number instead of the street address, so a lost key cannot lead anyone to an empty home.

  • Disclosure and lease copy marks

BUYER COPY · SELLER COPY · TENANT COPY · OFFICE FILE – DO NOT REMOVE

For disclosure packets, inspection reports and leases, so each party's set is easy to identify and the office original stays in the file.

How to make a real estate stamp

  1. 1

    Gather the office details

Copy the brokerage name, your license number and the office phone exactly as they appear on your license record. Decide whether the stamp should carry your direct line or the front desk number.

  2. 2

Match the shape to the paper

A long rectangle suits flyers and folders, a narrow strip fits key tags, and a round seal works on gift tags and packet covers. Set the plate size before you edit any text.

  3. 3

    Fit the wording

Put the brokerage name on the top line, then your name, then the numbers. For OFFER RECEIVED, leave blank lines wide enough for a handwritten time such as 4:37 p.m. and the initials of whoever logged it.

  4. 4

Proof at real size, then export

Print the preview at 100% on the paper you will stamp and check the smallest digits. Export a transparent PNG for PDF packets and an SVG or PDF for the stamp vendor.

Size, ink and file details

Size
Contact stamps are usually around 2½ × 1 in (64 × 25 mm) or 2 × ¾ in (50 × 19 mm). Status words such as SOLD read well at 1½ × ½ in (38 × 13 mm), and key tags need something smaller, about 1 × ½ in.
Ink color
Blue or black for contact stamps and copy marks. Red is the usual choice for SOLD and PRICE REDUCED because it stands out on a black-and-white listing sheet, but it turns pale on grayscale scans, so keep it off documents you archive as PDFs.
Smallest text
License numbers and phone digits need about 7 pt (2.5 mm) to stay readable after a self-inking stamp has been used a few hundred times. Thin script fonts blur first.
Glossy flyers and key tags
Listing flyers on glossy stock and plastic key tags do not absorb ordinary water-based ink. Ask the stamp maker for a quick-dry ink pad for those surfaces, and test it on a spare flyer before the open house.
Files
A transparent PNG drops cleanly onto PDF listing packets, while an SVG keeps the edges sharp for the vendor who makes the physical stamp. See the options for PNG and SVG stamp downloads; if all you have is an old stamp on paper, scan it and use Remove stamp background for a clean reference.

Real estate stamp questions

What should a real estate agent stamp include?

Most agents use the brokerage name, their own name, a license number, a phone number and an email or website. Keep titles accurate: membership marks such as REALTOR® may only be used by members of the association that owns them, and a designation you no longer hold should come off the stamp.

How do I record the time an offer was received?

Use an OFFER RECEIVED stamp with blank lines for the date, the time and the initials of the person who logged it, and write the time by hand to the minute. Some offices also stamp the printed email, so the paper copy matches the timestamp in the inbox.

Can I use a SOLD stamp before closing?

Practice varies. Many brokerages reserve SOLD for closed sales and use UNDER CONTRACT, PENDING or UNDER OFFER until then, and some regulators treat calling a property sold too early as misleading advertising. Keep a separate stamp for each status, so the office board and the listing sheets say exactly where the sale stands.

Should the property address go on key tags?

Ideally not. A tag that carries both the key and the address is a security risk if it goes missing. Most offices stamp a key number that matches a sign-out log at the front desk, plus the office name and phone so whoever finds a lost key can return it.

Do sales and property management need separate stamps?

Usually, yes. A sales team lives on status and offer stamps, while a rental office uses RENT RECEIVED, TENANT COPY and move-in or move-out inspection marks. One contact stamp can serve both teams, but separate wording stamps keep a rent receipt from being confused with an offer in a shared file.
