How to add a stamp to a Word document
- 1
Open the document
Drop a .docx file of up to 50 MB, or try the example invoice. The pages are laid out in your browser with their headers, tables and pictures.
- 2
Add a stamp
Upload a stamp image or pick one from My Library. It lands seal-sized on the page you are looking at, low on the right where documents are signed.
- 3
Place it on the right page
Scroll to any page, drag the stamp into place, resize or rotate it, and set opacity, ink colour and wear. Add as many stamps as the document needs.
- 4
Save the stamped PDF
Download a PDF with each page as a sharp image, or choose Print and then Save as PDF to keep the text selectable. Both need a plan.
Stamping Word files without breaking the layout
Inserting a stamp into Word by hand means wrestling with picture wrapping, and the stamp often jumps when someone else opens the file. When the goal is a stamped copy to send, such as an approved quote, a paid invoice or a certified HR letter, it is easier to lay the pages out once, put the stamp exactly where it belongs and produce a PDF that looks the same everywhere.
When to use it
Use the tool for the final, outgoing version of a document: invoices marked paid, contracts stamped with a company seal next to the signature, letters carrying a received or approved mark, or forms that need a stamp on every page. Each page keeps its own stamps, and the page counter above the pages shows where a new stamp will go.
If the stamp must live inside the .docx so others can keep editing around it, export it as a transparent PNG from the online stamp maker and insert it in Word with Insert, Pictures, then set Wrap Text to In Front of Text. If the PNG is far heavier than the page needs, Resize stamp image makes a smaller copy; the exact size on the page is set in Word's Picture Format tab.
Settings worth checking
A new stamp starts at about 42 mm, a common size for company seals, and the Size slider then works as a share of the page width. Keep Blend with the page on so table lines and text show through the ink as they would on paper; turn it off when the stamp should sit on top, opaque.
For a stamp that looks hand-applied, tilt it a few degrees, lower the opacity slightly and choose a Light ink texture. Photos or scans of a stamp are cleaned of their paper when you add them. If the edges still look rough, prepare a clean file with Remove stamp background first.
PDF, print and page sizes
Download PDF saves every page as an image of about 240 dots per inch, at the page size set in the document, so it looks identical on every device but its text cannot be searched. Print opens the browser's print dialog with the stamped pages at their own sizes; choose Save as PDF there and the text stays real, selectable text, with each stamp placed as an image above it.
Print is offered on computers, where print dialogs can save PDFs reliably; on phones and tablets, use Download PDF. Either way, the pages you see are what you get, so scroll through the whole document before you send it.
Limits and what to do instead
Pages are laid out by the browser, not by Word. Fonts missing on your device are replaced, which can move line breaks and occasionally push a paragraph onto the next page. Comments and tracked changes are not shown, so accept or reject changes first. Older .doc files and password-protected documents cannot be opened: save the file as .docx, without a password, and try again.
When you need an exact match with Word, export the document to PDF from Word itself and stamp that PDF instead. And only apply seals or approval stamps you are entitled to use; treat a digitally stamped copy with the same care as one stamped by hand.
Questions about stamping Word documents
How do I add a stamp to a Word document online?
Open the .docx in the tool above and wait for the pages to appear. Choose Add stamp, upload a stamp image or pick one from My Library, then drag it to the right spot on the right page and adjust its size, angle and ink. Finish with Download PDF, or with Print and Save as PDF.
Can I insert a stamp into the Word file itself?
This tool produces a stamped PDF or a print, not an edited .docx. To keep the stamp inside the Word file, download your stamp as a transparent PNG, open the document in Word, use Insert and Pictures, then set Wrap Text to In Front of Text so the stamp can sit over the text without moving it.
Will the text in my stamped PDF stay selectable?
It depends on how you save it. Download PDF turns each page into a high-resolution image, so the text looks right but cannot be selected or searched. Print followed by Save as PDF keeps the document's text as real text, with the stamps placed over it as images. Print is available on desktop browsers.
Can I open .doc files or password-protected documents?
No. The tool reads the .docx format that Word has used since 2007, including macro-enabled and template variants. Open an older .doc file in Word and save it as .docx. For a password-protected document, remove the password in Word, save the file and open it again here. Files of up to 50 MB are accepted.
Why does the stamp show a watermark?
This is a premium stamp tool. You can open documents, place stamps and check every page for free, but the stamps on screen carry a watermark until you subscribe. A monthly, yearly or lifetime plan unlocks the clean PDF and printing. The document is laid out in your browser and is never uploaded.
