6 editable designs
Text stamps are the simplest option when the message matters more than a logo or decorative seal. Use them for recurring instructions, approval wording, labels and short office notices, with direct control over the font, line breaks, alignment, border and finished size.
Every preview opens as editable layers in the online stamp maker, so you can change the wording, border, symbol, dimensions and ink color before choosing a download.

Choose the exact wording and line breaks first. Short status labels can use bold capitals; longer instructions usually read better with fewer decorative details. Give each line enough space to keep letters from touching the border. A date-heavy message may be easier to build from a date template than from a general text frame.

A text stamp works best when the reader can understand it quickly. Start with the short message the document needs, such as a processing status or a simple instruction. Make that message the largest element and add a department, date or reference only when it changes how the mark will be used.
If the wording needs a full sentence, try a wider frame or a two-line arrangement. Avoid shrinking it into the proportions of a one-word sample. The custom stamp templates offer other starting shapes when a standard rectangular message feels too restrictive.
A short word can look lost in a very wide frame, while a long word can press against the edges. Adjust the spacing and frame together rather than treating either as fixed. Leave similar visual room before the first letter and after the last, and inspect the top and bottom gaps as well.
Check the stamp at the size used on the page. Heavy borders and narrow letter openings can merge when reduced. If you add wear, look for missing strokes that could change the reading of the message. Keep a clean version so you can compare the text before and after the effect.
A received mark, an approved mark and a paid mark do not communicate the same event. Keep their wording and files distinct, even if they share a common font and frame. A filename based on the message is easier to use than a sequence of nearly identical image thumbnails.
For a new message, edit the text in the online stamp maker and export a new image. The downloaded PNG contains the finished artwork rather than editable letters. Keep the source design if you expect to create related messages later.
Write the exact message, then read it aloud to check that every word earns its place. One- or two-word statuses such as APPROVED, COPY or DRAFT work well in a single bold line, while instructions like “Please sign and return” need two lines in a wider frame. Choose a text template that matches your line count and open it in the stamp generator online.
Set the font before the size. Condensed capitals pack a long word into a narrow rectangle; a rounded sans-serif feels friendlier for customer notes. Use the spacing controls to centre the text optically, leaving equal room at each end of the border. If you want a curved message, a round template lets the words follow the ring with a star or dot in the centre. Add wear and lower the opacity last, then set the plate size in millimetres. For warnings that must jump off the page, the red stamp templates start with bolder frames.
Office text stamps tend to fall into status words and instructions. Status words include Approved, Rejected, Draft, Copy, Original, Posted and Scanned. Instructions include “Please sign and return”, “Do not bend”, “Reply required by” and “File in archive”. A one-word stamp reads fastest, so reserve instructions for pages where the reader genuinely needs to act, and keep each instruction to a single verb where possible. Internal post can use “Hand deliver” or “Return to sender”.
Packaging and retail stamps lean friendlier: “Thank you!”, “Handle with care”, “Made with love” or “Open me first”. Price-tag stamps can read “Reduced” or “Last one”, and event organisers sometimes use “Staff only” or “Checked” on passes. Whatever the phrase, test the stamp on the real surface at the final size, because a word that looks bold on screen can thin out on glossy card. Mixing case styles across one set can look accidental, so pick capitals or sentence case and stick with it. Before settling on a style, skim our online stamp maker tips on matching a typeface to its frame.
A status such as an approval or a document instruction should be understandable before a reader notices the frame. Keep the main message short and use a second line only for a useful qualifier. If the wording is long, choose a wider layout. Small all-capital lettering and a thick border can make an otherwise simple message harder to read.
For repeated document use, keep a transparent PNG copy and an editable original where your access permits saved designs. Later wording changes belong in the original design, not in the flattened PNG.

Choose a text template, type your message, and set the font, line breaks and letter spacing. Adjust the border, ink colour and plate size in millimetres, then preview. The online stamp maker is free while you edit and preview, and a transparent PNG download costs $2.50.
Frequently used words include Approved, Rejected, Draft, Copy, Original, Paid, Received, Scanned, Posted and Confidential. Instruction stamps such as “Please sign and return” or “For your information” are also common. Choose wording your colleagues already understand, and keep each stamp to one meaning.
Yes. Round templates place text along the upper and lower curves, and you can adjust spacing so the letters spread evenly around the ring. Straight text can sit in the centre for a second message. Curved text suits short phrases; longer instructions are easier to read on straight lines in a rectangle.
Design the first stamp, then reuse its font, border and colour for each new message so the set looks consistent. Any signed-in account can keep each design in My Library. When the set is ready, compare PNG and SVG stamp downloads to choose a package for each message.
