Quality Control Stamp Maker
Make the inspection marks a production line relies on: an inspector stamp with a personal number, QC PASSED, REJECTED and ON HOLD status stamps, a dated INSPECTED mark, and lot, first article and calibration stamps.

Inspection leaves marks all over a shop floor. Inspectors stamp travelers and route cards as each operation is accepted, mark the paperwork for incoming material, and initial checklists at final inspection. Status stamps go on tags and bin labels so nobody ships a part that is still ON HOLD. Lot numbers and production dates go on cartons and bags, and calibration labels on gauges tell an auditor when each instrument was last checked and when it is due again.
This quality control stamp maker loads a round company quality seal in the editor above; the templates further down switch it to an approval block, a one-word status mark or a dated stamp. Put the inspector number in the largest type, add a date line, and set the plate to the size of the tag or traveler box it has to fit. The online stamp maker exports a PNG to file with your stamp register and an SVG for the vendor making the rubber.
The real decision is not the design but the control. If stamps are your evidence of who accepted a part, each one has to trace back to one person, so decide how stamps are issued, recorded and withdrawn before you order a set. A stamp passed around between inspectors proves nothing.
Stamps a quality department uses
Personal inspector stamps record who accepted the work; status stamps tell everyone else what may happen to it next.
Inspector stamp
INSPECTED · QC 07
A small personal stamp with a unique number, used on travelers, drawings and checklists. Many plants also give each inspector a distinct frame shape so numbers are hard to confuse.
QC passed
QC PASSED · Insp. 07 · 23 OCT 2026
On tags, labels and final inspection records when a lot is released. Green ink is common, but the wording has to stand on its own in a black-and-white copy.
Rejected
REJECTED · NCR No. ______ · Insp. ______
On the tag or paperwork of a lot that failed, with the nonconformance report number so the decision and its disposition can be traced.
On hold
ON HOLD · DO NOT USE · Reason ______ · Date ______
Marks material waiting for a decision: a missing certificate, a customer query, a pending test. It should look nothing like the pass stamp.
First article inspection
FIRST ARTICLE APPROVED · Part No. ______ Rev. ______ · Insp. ______ · Date ______
On the first part from a new setup, tool or drawing revision. Aerospace suppliers record the full check on AS9102 forms; the stamp marks the part and the traveler.
Lot and batch mark
LOT 26-1042 · MFD 23.10.2026 · LINE 3
On cartons, bags and labels where no printer is available. Keep the format identical to the lot code in your records so a recall search finds it.
Calibration status
CALIBRATED · ID G-114 · Date ______ · Due ______ · By ______
On labels for gauges and instruments. A due date anyone can read keeps out-of-date equipment off the line.
Quality control stamp templates
Choose one and it loads into the editor at the top of the page. The company names, countries and numbers in them are placeholders; replace them with your plant name and inspector numbers.

Circle stamp · 40 mm
Canada Quality Permanent Seal
Round quality seal with a registration number and a country line, a good base for a plant-level stamp on your own certificates of conformity.

Circle stamp · 38 mm
Custom Address Stamp
Round APPROVED layout with signature and date lines, for an inspector's acceptance on travelers and incoming inspection reports.

Rectangle stamp · 44x15 mm
Text Stamp with Text: Revised
Single-word REVISED frame; change the word to REJECTED or ON HOLD and keep the frame heavy so the status reads from across a bench.

Rectangle stamp · 47x18 mm
Received Date Stamp
Received date layout that turns into INSPECTED with a date, for logging when incoming material was checked.

Rectangle stamp · 44x10 mm
Text Stamp with Text: Recommended
Slim 44 × 10 mm strip, narrow enough for the status box on a part tag; replace the sample word with QC PASSED.

Circle stamp · 40 mm
Masero Installer Computers Seal
Round seal with a large number field, suited to a personal inspector stamp where the ID is the main element.
How to set up inspection stamps
- 1
Define the scheme
List the statuses you need and the inspectors who will hold stamps. Give each person a number that will never be reused for someone else, and write down which color means what.
- 2
Make statuses look different
Give accept, reject and hold stamps different shapes as well as different words. Shape still works on a faded photocopy, where ink color is lost.
- 3
Fit numbers and dates
Make the inspector number the largest element and leave a date line long enough for a full date. On small tag stamps, drop extra words before you shrink the number.
- 4
Proof and register
Print a proof at full size, check it in the smallest box it must fit, then export the files. When the stamp arrives, add its impression and the holder's name to your stamp register.
Size, ink and marking surface
- Size
- Personal inspector stamps are often 10–15 mm across, status stamps for tags 40 × 10 to 47 × 18 mm, and dated approval stamps about 38 mm round. The text stamp templates offer more one-word frames at tag size.
- Ink color
- Many plants use green for pass, red for reject and yellow or orange for hold. Keep the scheme the same on every line and in every document, and never rely on color alone.
- Readability
- Inspector numbers must stay legible at the smallest stamp size, with digits around 2 mm tall or more. Avoid fonts in which 1 and 7, or 0 and 8, can be mistaken for each other.
- Marking surface
- Stamping directly on metal, plastic or coated parts needs a fast-drying industrial ink, and some customers forbid ink on finished surfaces. Check the drawing or purchase order; when in doubt, stamp the tag instead of the part.
- Files
- File the PNG with the register as the reference impression, and send the SVG to the stamp vendor. The PNG and SVG stamp downloads are listed on the pricing page.
Quality control stamp questions
What should an inspector stamp include?
At minimum a unique inspector number. Many companies add a short company code or the word INSPECTED, and some add a date line. Keep it small and simple: the stamp's job is to identify one person on travelers and records, while the register links that number to the inspector's name.
Does ISO 9001 require inspection stamps?
No. ISO 9001 asks for evidence that products met acceptance criteria and for traceability to whoever released them. Stamps are one way to provide it; signatures and electronic records are others. If you choose stamps, your auditor will expect to see how they are issued, recorded and withdrawn.
What happens to a stamp when an inspector leaves?
Collect it, record the return date in the register, and destroy it or lock it away. Avoid giving that number to a new inspector for a long time, because old travelers and records still carry it. If a stamp is lost, record that too and issue the inspector a new number.
What is the difference between REJECTED and ON HOLD?
REJECTED means a decision has been made: the material does not conform and goes to rework, scrap or return under a nonconformance report. ON HOLD means no decision yet, because the material is waiting for a test, a document or a customer answer. Keep the two visibly different so held stock is never scrapped by mistake.
Can I use a stamp image on electronic inspection records?
Only if your system controls it. A picture pasted into a PDF can be copied by anyone, so it proves less than a rubber stamp in a locked drawer. Electronic quality systems normally rely on personal logins or electronic signatures; if you add an image, tie it to that login and describe it in your stamp procedure.
