A veterinary clinic stamps paper on both sides of the consulting-room door. Inside, a vaccination entry in a pet's booklet usually combines the date, the vaccine's batch sticker and the vet's signature, with the clinic or veterinarian stamp wherever local rules or the booklet ask for one. At reception, invoices are marked PAID, reminder cards carry the next booster date, and boarding, grooming and puppy-class cards collect a stamp per visit. The clinic name and address also go on envelopes and on sample submission forms for outside labs.

This veterinary stamp maker opens a rectangular layout with a paw print in the editor above, a size that suits the signature box of most vaccination booklets. Replace the sample name and number with the veterinarian's own details and change Veterinaria to the title you use. The same online stamp maker covers the round clinic stamp, a date stamp for vaccination entries and the PAID and grooming stamps for the front desk.

Before ordering, decide which stamps name a veterinarian. A stamp with a vet's name and registration number belongs to that vet and goes only on entries they make; nurses and reception use clinic stamps with no personal number. Several layouts in the medical stamp templates collection also adapt well to a veterinary practice.

Stamps a veterinary clinic uses

Only the first one identifies a person. The others belong to the clinic and stay at reception, in the kennels or in the grooming room.

  • Veterinarian's stamp

Dr. Tomás Rivera, DVM · Oakridge Animal Hospital · Lic. No. 00000 · (503) 555-0129

Next to the vet's signature on vaccination entries, health records and letters they sign themselves, where the licensing rules or the record ask for a stamp.

  • Clinic stamp

    OAKRIDGE ANIMAL HOSPITAL · 1180 Birch Road, Salem, OR 97301 · (503) 555-0129 · Out of hours (503) 555-0130

For envelopes, invoices, lab submission forms and boarding agreements. With no vet's name on it, anyone on the team can use it.

  • Vaccination date stamp

    VACCINATED · 23 OCT 2026 · Next due ______

Only for entries made by the vet who gave or supervised the vaccination, placed beside the batch sticker and signature. The next-due line saves writing the date twice.

  • Booster reminder card

    NEXT BOOSTER ______ · Annual vaccines ☐ Rabies ☐ Kennel cough ☐ · Call (503) 555-0129 to book

Stamped on the back of a clinic card and handed over at checkout, so the owner leaves with the date in hand.

  • Paid invoice stamp

    PAID · Date ______ · Invoice No. ______ · Initials ______

For handwritten invoices, insurance claim copies the owner submits, and payment-plan cards for long treatments.

  • Boarding and grooming cards

    BOARDED · In ______ Out ______ · Kennel ______ | GROOMED · ______ · Next visit ______

For check-in cards in the boarding kennels and loyalty cards in the grooming room. A small oval stamp per visit is enough.

  • Surgery admission card

    SURGERY ON ______ · Drop-off ______ · No food after ______ · Water allowed until ______

Lines for the times the vet sets for each patient. Never pre-print fasting times, because they differ by animal and procedure.

How to make a veterinary stamp

  1. 1

Check what the records ask for

Open the vaccination booklets and record cards you use most and note what the signature box expects: name, clinic address, registration number. Ask your licensing board whether a stamp is required and what it must show.

  2. 2

    Size to the smallest box

Measure the stamp or signature box in the booklet and set the plate a few millimeters smaller. A stamp that runs into the next entry makes the whole record harder to read.

  3. 3

    Split personal and clinic stamps

Build the vet's own stamp first, then duplicate it for the clinic version and delete the personal name and number. One style across the set looks tidy in records and on invoices.

  4. 4

Proof on a real booklet page

Print at 100%, hold the proof over a booklet page and check every digit with the vet. Export a PNG for approval and an SVG for the stamp manufacturer.

Size, ink and booklets

Size
Booklet boxes are often small, so a rectangle of about 50–56 × 20–23 mm or a round stamp of 30–38 mm is typical. Loyalty and boarding card stamps can be 25–30 mm.
Ink color
Black or dark blue for record entries, which must stay legible for years and on photocopies. Any bright color works for PAID, grooming and birthday cards.
Smallest text
Keep registration numbers at 8 pt or more and nothing below 7 pt. Booklets get handled with wet hands and travel in bags, so thin strokes fade first.
Files
A PNG proof is enough to agree the wording with the practice owner; the manufacturer will ask for SVG or a vector PDF. The pricing page covers PNG and SVG stamp downloads.
Ink on booklets
Vaccination booklets and pet passports often have coated pages that smudge with ordinary ink when closed. Use a quick-dry permanent ink and let each entry dry before closing the booklet.

Veterinary stamp questions

What goes on a veterinary stamp?

Usually the veterinarian's name and qualification, the clinic's name, address and phone, and a registration or license number where your licensing board expects one. A clinic-only version leaves out the personal details for invoices, envelopes and boarding cards. A paw print reads well even at small sizes; detailed animal pictures do not.

Can a groomer or boarding kennel stamp a vaccination record?

No. A groomer or kennel can check the record and stamp its own booking or boarding card, but entries in the vaccination booklet or passport belong to the veterinarian responsible for the vaccination. If a record looks incomplete, the owner should go back to the clinic that gave the vaccine.

Who can fill in a pet passport?

In the EU, only a veterinarian authorized by the competent authority can issue a pet passport and record a rabies vaccination in it. Elsewhere, travel papers depend on the destination: many need a certificate from an accredited or official veterinarian, then an endorsement from the government veterinary service. Check the destination's rules months ahead.

Do booster reminder cards need the clinic stamp?

Not strictly, but it helps owners find you again. A reminder stamp with the clinic name, phone number and a next-due line turns each vaccination visit into the next booking. Many clinics also send text or email reminders, and the card is the backup that stays pinned to the noticeboard.

How do I set up a grooming loyalty card?

Design a small round or oval stamp with the clinic or salon name and one word such as GROOMED, then print cards with a row of numbered circles. Each visit earns one impression. Keep the stamp at the grooming desk so only staff can mark cards, and change the design if copies start appearing.
