Hotel Stamp Maker
Design the stamps a hotel uses from check-in to checkout: a front desk block for registration cards, PAID for folios, numbered luggage tags, spa and minibar vouchers and a ROOM INSPECTED mark for housekeeping.

Almost every department in a hotel keeps a stamp. The front desk marks registration cards and settled folios, the bell desk stamps luggage tags when bags are stored after checkout, and the spa, bar and minibar issue vouchers that need a number and a validity line. Housekeeping supervisors initial a ROOM INSPECTED stamp on their checklists before a room goes back on sale, and the back office sends letters and envelopes under the hotel’s address. Smaller properties often stamp plain key card sleeves with their logo rather than ordering printed ones.
This hotel stamp maker opens a round picture seal in the editor above, a layout that holds a resort name and tax number around a central emblem. Replace the image with your own logo, edit the curved lines and set the diameter. The same online stamp maker builds the working stamps behind the desk: a square front desk block with date and signature lines, an oval RECEIVED stamp for parcels held for guests, or a three-line address stamp for envelopes and letterhead.
Keep in mind what a hotel stamp can and cannot say. It identifies your property and records what your staff did, but it certifies nothing to outside authorities. Star ratings and classification plaques are awarded by tourism authorities or hotel associations, so do not reproduce their emblems on a stamp; if you mention a rating at all, follow the rules of the body that awarded it.
Stamps a hotel uses, department by department
The front desk needs the most, but housekeeping, the spa and the back office each have one or two of their own.
Front desk block
HOTEL MIRADOR · 21 Ocean Drive, Santa Rosa · Tel. (555) 018-4400 · Date ______ · Signed ______
For registration cards, confirmation letters and invoices sent to corporate accounts. The signature line shows which agent handled the stay.
PAID folio stamp
PAID · Folio No. ______ · Date ______ · Cashier ______
Goes on the printed folio at checkout and on paid invoices for groups and events, so a guest’s copy shows at a glance that nothing is outstanding.
Luggage storage tag
LUGGAGE STORED · Tag No. ______ · Pieces ______ · Name ______
Stamped on both halves of a perforated tag: one stays on the bag, the other goes to the guest and is handed back to collect it.
Spa and minibar vouchers
SPA VOUCHER · No. ______ · Valid until ______ · Issued by ______
Turns plain cards into numbered vouchers for treatments, welcome drinks or minibar credit. Record every number in a log before the voucher leaves the desk.
Key card sleeve logo
HOTEL MIRADOR · Santa Rosa · Welcome
A logo on plain sleeves. Many hotels leave the room number off the sleeve, or write it inside, so a lost key cannot be matched to a room.
ROOM INSPECTED
ROOM INSPECTED · Room ______ · Supervisor ______ · Time ______
For housekeeping checklists and maintenance sign-offs. It is an internal record of who checked the room and when.
Envelope and letterhead address
Hotel Mirador · 21 Ocean Drive · Santa Rosa, CA 95404
Return address for envelopes, guest mail forwarded after departure and plain letter paper used by the sales office.

How to make a hotel stamp
- 1
Ask each department for its wording
The front office, housekeeping, spa and accounts each fill in different fields. List the lines they write by hand today, and gather the legal name, address, tax number and logo exactly as they appear on your invoices.
- 2
Pick a shape per job
Use a square block for the front desk, a long rectangle for envelopes and a round seal for vouchers and sleeves. Set the plate size first, so every change is checked against the real space.
- 3
Leave room for numbers and initials
Voucher numbers, room numbers and supervisor initials are written by hand, often by people in a hurry. Make those lines long and keep printed text away from them.
- 4
Proof with the people who use it
Print the proof at 100% and ask the night auditor or a supervisor to fill it in. When the fields work, export the files and save the design, so a new manager or tax number is a quick edit.
Size, ink and file details
- Size
- A front desk block works at 50–70 mm square, a PAID stamp at about 40 × 20 mm, an envelope address at 47 × 18 mm and a voucher or sleeve logo at 35–40 mm across. Measure luggage tags before choosing, as many are narrow.
- Ink colour
- Some hotels assign a colour by department, such as red for PAID at the front desk and green for housekeeping, so the source of a mark is clear on a crowded page. Black remains best for anything that will be scanned.
- Text size
- Keep capitals at 2 mm or taller and numbers at about 3 mm. Registration cards and folios are often scanned or photocopied, and small digits blur first.
- Files
- Use the PNG for email confirmations, digital vouchers and the hotel website. Stamp vendors and printers will want SVG or PDF. The PNG and SVG stamp downloads are compared on the pricing page. If your old stamp only exists on paper, scan it and use Remove stamp background to get a clean reference image.
- Stamp control
- A PAID or voucher stamp creates value in the hands of anyone holding it. Keep those stamps in a locked drawer outside opening hours, number every voucher and reconcile the log during the night audit.
Hotel stamp questions
Can I put the hotel’s star rating on a stamp?
Be careful. Ratings come from a tourism authority, a hotel association or a private scheme, and each one sets rules on how the rating and its emblem may be shown. Never copy an official plaque or logo onto a stamp. A rating can also change at the next inspection, while a rubber stamp stays the same for years.
Does a PAID stamp replace a receipt?
No. The folio or invoice from your property management system is the record of the stay, and tax rules in your country decide what a valid invoice or receipt must show. The PAID stamp is a quick visual confirmation on the paper copy, useful for guests who claim expenses and for the accounts team.
Should housekeeping stamps show the supervisor’s name?
Most hotels use one stamp with a blank line for initials, because supervisors change shifts and staff turn over. A stamp per supervisor gives stronger accountability but needs replacing whenever someone leaves. Either way, the initials plus a time make it easy to trace who released a room.
What goes on a hotel envelope stamp?
The hotel name, street address, city, postal code and, for mail that may travel abroad, the country. Many hotels add a phone number or a reservations email. Keep it to three or four lines, so it fits in the corner of a standard envelope and stays legible after franking or postal sorting.
Does a stamped registration card meet local requirements?
A stamp makes the card easier to identify and file, but it does not decide what the card must contain. Guest registration rules come from local law and can include identity details or reporting duties for foreign guests. Check what applies where you operate, then design the stamp to sit beside those fields without covering them.
