On a building project, a stamp tells everyone which piece of paper they can build from. Shop drawings and product data come back from review with an action box ticked, the current set is marked FOR CONSTRUCTION while superseded sheets are marked VOID, delivery tickets are stamped when material arrives, and the superintendent signs off the daily report at the end of each shift. Every one of those marks has to stay readable on a creased print in the site trailer and on a scan sent to the owner.
This construction stamp maker opens a contractor's company seal in the editor above, and the templates below add a full shop drawing review layout, received marks and drawing status words. Type your company name, address and license number, set the plate to the space beside your title block or on your delivery ticket, and fit the disclaimer in lines you can still read. The online stamp maker exports a PNG for marking up PDF sheets and an SVG for the vendor who makes the rubber stamp.
The hard part is the wording, not the layout. A submittal review stamp states what the reviewer did and did not accept, and that language has contractual weight. Use the action categories and disclaimer that your contract or the engineer of record specifies, word for word, rather than a version copied from another firm's stamp.
Stamps used on a construction project
General contractors, subcontractors and project managers rely on a mix of review, status and site stamps.
Shop drawing and submittal review
SHOP DRAWING REVIEW · ☐ REVIEWED – NO EXCEPTIONS TAKEN ☐ MAKE CORRECTIONS NOTED ☐ REVISE AND RESUBMIT ☐ REJECTED · Review does not relieve the contractor of responsibility for dimensions, quantities and compliance with the contract documents · By ______ Date ______
Applied by the contractor before a submittal goes out, and by the architect or engineer when it comes back. Make each tick box at least 4 mm square so a pen mark is unmistakable.
Drawing issue status
ISSUED FOR CONSTRUCTION · Rev. ______ · Date ______
Marks the sheets crews may build from. With the revision letter on the stamp, a foreman can check it against the drawing index.
VOID and superseded
VOID · SUPERSEDED BY REV. ______ · DO NOT USE
Stamped across the old sheet as soon as a new revision arrives, in large letters, so nobody pulls an outdated print from the plan table.
As-built
AS-BUILT · Field verified by ______ · Date ______ · Changes clouded in red
For the redlined set handed over at closeout, with room for whoever checked the field measurements.
Received on site
RECEIVED ON SITE · Date ______ Time ______ · Checked by ______ · ☐ Complete ☐ Short ☐ Damaged
For delivery tickets and packing slips. Ticking short or damaged while the driver is still there backs up a claim to the supplier.
Daily report and inspection block
DAILY REPORT · Weather ______ · Crew count ______ · Inspected ______ · Superintendent ______
A grid of blank lines for daily logs, pour cards and inspection checklists, so every report collects the same facts in the same place.
Contractor company stamp
RIDGELINE BUILDERS LLC · Lic. No. 000000 · 2210 Quarry Rd · Boise, ID 83702 · (208) 555-0147
For bids, change orders, pay applications and invoices. Many states expect the contractor license number on contracts and advertising, so include it where yours does.

How to make a construction stamp
- 1
Get the approved wording
Ask the project manager or the engineer of record for the exact action categories and disclaimer the contract requires, and for the project and drawing number format used on transmittals.
- 2
Size it for the sheet
Measure the clear space beside the title block on a full-size sheet before you choose the plate. Delivery tickets and packing slips need a narrower stamp than drawings do.
- 3
Fit the disclaimer and boxes
Set the action boxes in a column with their labels in capitals, then reduce the disclaimer to the smallest size you can read on a photocopy. Never cut words to make it fit; enlarge the plate instead.
- 4
Test on a real print
Print the preview at 100% on bond paper, tick a box and fill the fields with the pens the site uses. Export a PNG for PDF markups and an SVG for the stamp manufacturer.
Stamp sizes, ink and files for site use
- Size
- Review stamps usually run 3 × 3 in to 3 × 4 in (75 × 75 to 75 × 100 mm). Status words such as VOID fit 2 × ¾ in, and RECEIVED ON SITE about 2 × 1 in.
- Ink color
- Black for anything that will be scanned into the project record. Many offices keep red for VOID, so it can never be mistaken for an approval on a busy drawing.
- Smallest text
- Disclaimer text below about 6 pt (2 mm) fills in after a few uses. If the full wording will not fit at that size, move to a larger plate or split it into a separate disclaimer stamp.
- Site conditions
- Trailers are dusty and drawings get damp. A self-inking stamp with a cover keeps the pad clean, and a quick-dry or permanent ink resists smearing on coated plotter paper and carbonless delivery tickets.
- Files
- Most review now happens on PDFs, so a transparent PNG of the review stamp goes onto each sheet in your markup software, while the vendor needs an SVG for the rubber plate. The PNG and SVG stamp downloads are listed on the pricing page.
Construction stamp questions
What does NO EXCEPTIONS TAKEN mean on a shop drawing?
It means the reviewer found nothing to correct within the scope of the review, so the work shown can go ahead as drawn. It does not guarantee that dimensions, quantities or field fit are right; those stay with the contractor. MAKE CORRECTIONS NOTED lets work proceed with the marked changes; REVISE AND RESUBMIT means a corrected submittal comes back first.
Who stamps a submittal first, the contractor or the architect?
Normally the contractor. Most contracts ask the general contractor to review and stamp each submittal, confirming it was checked against the contract documents, before forwarding it to the architect or engineer. A submittal that arrives without that stamp is often returned unreviewed.
What is the difference between as-built and record drawings?
As-built drawings are usually the contractor's marked-up set showing what was actually installed, with changes clouded and dimensions noted. Record drawings are often the design team's clean version prepared from those markups. The terms vary from contract to contract, so stamp your redlines with the term your specifications use for closeout documents.
Do I still need a VOID stamp with digital drawings?
Paper still turns up on site: old plots pinned to a trailer wall, half-size sets in a foreman's truck. A VOID or SUPERSEDED stamp on every replaced print is a cheap safeguard against building from the wrong revision. In the PDF set, apply the same mark in your markup software.
Can a subcontractor have its own review stamp?
Yes. Subcontractors often stamp their own shop drawings to show internal checking before sending them to the general contractor. Word it clearly as a submitter's statement, such as SUBMITTED FOR REVIEW or CHECKED BY SUBCONTRACTOR, so nobody mistakes it for the design team's review action or for an approval.
