Churches, mosques, temples, charities and neighborhood associations all handle a steady stream of paper. Offering envelopes and donated checks are counted and marked RECEIVED, a thank-you card goes back to each donor, and newsletters, appeal letters and annual reports need a return address on hundreds of envelopes. A fundraising dinner sells stamped tickets, a food pantry marks client cards at every visit, and the volunteer sign-in sheet gets the date at the start of each shift.

This church stamp maker loads an organization layout into the editor above. Put the registered name in the outer ring, add a short word such as Thank You or Received in the centre, and check that the whole design fits a self-inking stamp that any volunteer can pick up and use. The online stamp maker stores your designs, so the address, receipt and event stamps can share one look and be updated when the office moves or a new treasurer takes over.

One decision belongs to the treasurer rather than the designer: whether a stamped note counts as a formal receipt. A Thank You for Your Gift stamp acknowledges a donation. An official receipt that a donor can use for taxes must contain the details your tax authority requires, and it normally comes from the organization's donation records rather than from a stamp.

Stamps for a congregation or charity office

Most of them deal with money, mail and people: recording what came in, thanking whoever gave it, and keeping events and volunteers organized.

  • Thank-you stamp

THANK YOU FOR YOUR GIFT · Riverside Community Church

For acknowledgement cards and the donor's copy of an offering envelope. It says thank you; on its own it is not a tax receipt.

  • Counting and received stamp

    RECEIVED · Date ______ · Counted by ______ and ______

Two signature lines support the common practice of having two unrelated people count and record every collection together.

  • Return address stamp

Riverside Community Church · 220 Mill Road · Millbrook, OH 44000

For newsletters, appeal letters, pledge cards and the envelopes inside them. Use the address where donations should be mailed, which may be a PO box.

  • Event ticket stamp

    ADMIT ONE · Harvest Supper · 14 Nov 2026 · No. ______

Stamped on blank card for dinners, concerts and raffles. A number line, or a numbering stamp beside it, lets the treasurer match tickets sold to cash taken.

  • Membership stamp

MEMBER 2026 · Millbrook Historical Society

Validates paper membership cards each year. A changeable year band saves ordering a new stamp every January.

  • Volunteer hours stamp

    VOLUNTEER SHIFT · Date ______ · Hours ______ · Supervisor ______

For sign-in sheets and hour logs that students often need for school service requirements. The supervisor still signs beside it.

  • Food pantry visit stamp

    VISIT · Millbrook Food Pantry

Marks a client card on each visit, so volunteers can see how often someone has come without asking for paperwork every time.

How to make a stamp for your organization

  1. 1

    Confirm the registered name

Use the name exactly as it is registered with the state or charity regulator, and the mailing address donors should use. Ask the board which details may appear; a charity number helps on donor mail but is pointless on a raffle ticket.

  2. 2

Choose a shape for each task

Round stamps with the name in the ring suit thank-you and membership cards. Rectangles suit return addresses and receipt stamps with lines to fill in. Fix the plate size before you edit.

  3. 3

    Design for volunteers

Volunteers stamp in a hurry, often on envelopes and thin paper. Make the key word the largest element, give fill-in lines room for handwriting, and skip fine decorative borders that clog.

  4. 4

    Get sign-off and export

Print the proof at full size and show it to the treasurer or office lead. Export a PNG for the newsletter and website, and an SVG for the supplier producing the self-inking stamp.

Size, ink and files

Size
A four-line return address fits about 50 × 20 mm. Thank-you and membership stamps work at 30–40 mm round, and a receipt stamp with two lines to sign needs roughly 50 × 30 mm.
Ink colour
Use black or dark blue for anything that may be photocopied for the books. Green or burgundy suits thank-you cards. On kraft envelopes, only a dark ink stays readable.
Readability
Older donors and volunteers read these stamps too. Keep address lines around 2.5 mm tall, avoid condensed fonts, and test on the envelopes you actually buy rather than on printer paper.
Numbering
For tickets, raffle stubs and visit cards, a printed number line or a separate numbering stamp lets the treasurer reconcile what was sold with what was deposited.
Files
A PNG works for the bulletin, the newsletter and social posts; stamp suppliers want SVG for the plate. The PNG and SVG stamp downloads are compared on the pricing page. If the office already owns an old rubber stamp, scan an impression and run it through Remove stamp background to reuse it on screen.

Church and nonprofit stamp questions

What should a church return-address stamp include?

The name the post office and your donors recognize, the mailing address, and the PO box instead of the street address if mail goes there. Some congregations add a website or a short line such as Serving Millbrook since 1952. Leave off phone numbers and names of staff, which change more often than the stamp.

Is it appropriate to put a cross or another religious symbol on the stamp?

That is a decision for your own community. Many congregations use the symbol already on their sign or weekly bulletin, while secular charities usually prefer a simple logo. Whatever you choose, keep it bold enough to survive a small stamp, and use artwork the organization owns or has permission to use.

Can volunteers use one stamp for several events?

Yes, if the event details stay off the plate. A stamp reading ADMIT ONE with the organization's name works for every dinner and concert; write the date by hand or add a small date stamp next to it. A plate with the event name only pays off for a large event that returns every year.

Self-inking or pre-inked stamps for a busy office?

Self-inking stamps are inexpensive, refillable and quick for return addresses and receipt marks. Pre-inked stamps hold ink in the plate itself and give a crisper print for detailed logos, but cost more. An office stamping offering envelopes every week usually picks self-inking and keeps a spare ink cartridge in the drawer.

What happens to our stamps when the name or address changes?

Open the saved design, change the line and export a new file. If the legal name has changed, switch everything at once so receipts, envelopes and cards match. Then retire the old plates where volunteers cannot pick them up by mistake, since mail sent with an old address keeps coming back for years.
